Register a New Vendor

In VendorStat, companies that provide goods and services to Health Systems must register as Vendors. The registration process requires that you provide the typical company information (name, location, etc.), along with identifying an administrator for the VendorStat Vendor account. Use Internet access to VendorStat to register a company as a new Vendor.

Step by Step Instructions    To register a new Vendor in VendorStat:

1  Login to the ProTech Compliance website, (www. www.protechcompliance.com).

The ProTech Compliance Home screen displays.

2  Click on Register Now to begin the registration process.

VendorStat displays the Getting Started screen.

3  Click on New Vendor and the Next button to continue.

VendorStat displays the Add or Edit a Vendor screen.

4  Enter the Vendor information

You must include information in all of the required fields.

Note

If you begin to type information into the Company Name field, VendorStat automatically displays a list of possible matches for your company name from the VendorStat database.

If you would like to use one of the names from the list, click on the name and VendorStat fills-in the remaining fields, based on the information in the database.

5  When you have finished entering the Vendor information, click on the Next button to continue.

VendorStat displays the Add or Edit a User screen.

6  Enter the User information

You must include information in all of the required fields.

Note

Typically, the user you create during the Vendor registration process acts as the administrator for the Vendor account. The Role for this user is listed as “Vendor Admin” in the drop-down list. The Vendor Admin is not eligible for visits to Health System facilities.

However, you have the option to select “Vendor Admin and Representative” from the same drop-down list. This selection allows the user to be included in the process of scheduling visits to Health System facilities.

7  When you have finished entering the User information, click on the Add/Update button to continue.

VendorStat displays a Confirmation screen and automatically sends an E-mail to the address you entered for the User in step 6. The E-mail contains Login instructions and a temporary password.

8  Open the VendorStat E-mail message and Login (see VendorStat Login/Logout).

The first time that you Login with your new username and password, VendorStat displays the Terms of Service screen. You must accept the Terms of Service to continue.

9  Click on the Agree button to accept the Terms of Service and continue.

The first time you Login with your new username and password, VendorStat displays the Change My Password screen. You must change your password to continue.

10  Click on Change Password to save your new password and continue.

VendorStat displays the Health System Access Levels screen. Use this screen to request access to a Health System for your company. This screen also shows the current status of your company’s access to various Health Systems.

If you have already successfully registered for a system, the Registration Status is Active. If you have not completed the registration process for a system, the Registration Status is Incomplete. For more information, see Access Levels.

11  Select a Health System that you would like to access, along with the level of access you need for that Health System.

VendorStat displays the Vendor Credential List screen. This screen provides a complete list of the credentials required for the selected Health System and the access level you have selected, along with your company’s status for complying with those credentials.

To request access to a particular Health System, make a selection from the Health System and Access Level drop-down lists. Then click on the Add Health System button.

To modify information for a Incomplete or Active Health System, click on Edit for the listed system.

Note

You can click on the Credential name (ex.: Terms of Service) for additional information on that credential item.

12  Click on Edit/Fulfillment for instructions on how to comply with that credential item.

VendorStat displays the Edit Vendor Credentials screen. Use this screen to Attest or submit verification for the selected credential. This screen also includes information on sending or faxing copies of your credential information, if required.

13  Click on the Save button to save your changes and continue.

VendorStat displays the Vendor Credential List screen.

Note

If you do not have all of the information needed for these requirements, you can logout and complete the process when you log back into VendorStat.

When you have completed the credentials, click on the Next button.

Repeat this process until you have fulfilled all of the credential requirements on the list.

14  Once you have finished with the credential information, click on the Next button to continue.

VendorStat displays the List of Users screen. This screen displays the current status of any users that are registered for your company. Use this screen to manage existing users or add new users.

Click on the Next button to continue with the Vendor/Vendor Admin registration process. This will allow you to pay for your company and Vendor Administrator registration without adding any additional users.

If you choose to continue without adding users, continue with step 16.

Click on the Add User button to add additional users to this vendor account.

VendorStat displays the Add or Edit User screen.

15  Enter the User information

You must include information in all of the required fields.

16  Click on the Add User button to continue.

VendorStat displays the List of Users screen. Use this screen to mange the Health Systems for a selected user.

17  Set the User Options for the new user.

a  Select the new user from the list of users.

VendorStat highlights the selected user on the list.

b  Click on User Options

VendorStat displays a pop-up menu.

c  Select Manage the Selected User Health Systems

VendorStat displays the Health System Access Levels Screen. Use this to select a Health System and access level for the selected user.

d  Click the Next button.

VendorStat displays the List of Users screen.

e  Click on User Options

VendorStat displays a pop-up menu.

f  Select Manage the Selected User Credentials.

VendorStat displays the Representative Credentials list. Use this to fulfill the credentials for the selected user.

g  Click the Next button.

VendorStat displays the List of Users Screen.

18  Once you have finished adding New User information, click on the Next button to continue.

VendorStat displays the My Payments screen. This screen provides a list of all outstanding payments on your account. Use this screen to view Payment History and to choose the items that you would like to pay for at this time.

19  Choose the items you would like to pay for and click on the Next button.

VendorStat displays the Payment Method screen. Use this screen to select the way you would like to pay for your account.

You can choose one of the following three payment options:

•  Credit Card

•  E-Check

•  By Mail

Note

The example in this procedure shows payment by credit card. VendorStat provides on-screen instructions for each of the payment methods. Follow the on-screen instructions for e-check and by mail payments.

20  Select a payment method and click on Next button

VendorStat displays the Enter Credit Card Information screen. Use this screen to fill-in the account information for the credit card you are using for payment.

This screen includes a form that you can complete to pay by credit card. Instructions are also included for submitting your registration payment by e-check or by mail.

21  When you have finished entering the payment information, click on the Review Order & Continue button.

VendorStat displays the Confirm My Payment screen.

22  Click on the Pay Now button to charge your credit card and finish the registration process.

VendorStat displays the Home screen.

Note

If you send your payment by mail, VendorStat records your information. However, your registration will not be activated until payment is received.
