Check In a Visitor Automatically

When a visitor has a valid driver’s license and only one visit scheduled, you can use VendorStat to automatically check in the visitor.

Before You Begin

A visitor must have at least one visit scheduled. If a visitor does not have a scheduled visit, follow your Health System’s procedures for issuing a courtesy pass. For more information, see Issue a Courtesy Pass.

Step by Step Instructions   To check in a visitor (with a driver’s license) using VendorStat:

1  Login to VendorStat with your user name and ID (see Login To VendorStat).

VendorStat displays the Security Home screen. This screen provides a set of buttons that you can use to start the check in process.

2  Click on the Checkin: Scan Drivers License button.

VendorStat displays the Badge screen.

3  Collect the visitor’s driver’s license and place it face down on the scanner.

Verify that the license is sitting flat and square on scanner.

4  Press the purple button on the scanner.

The scanner automatically “reads” the license information. VendorStat searches the database for users that match the information from the license (based on the driver’s license number). If VendorStat identifies a registered user, the system also searches for any scheduled visits for that user.

If VendorStat finds a user and a visit, the system displays the Badge Preview screen.

Note

All Visitors must be registered as VendorStat users. If you are unable to locate the Visitor you are looking for, they may not be a registered VendorStat user, or their VendorStat account may not be current.

If the information on this screen is incorrect, you can click on the Back button to re-scan the license.

If VendorStat finds a user and multiple visits for that user, the system displays the list of visits for that user.

If one person has multiple visits scheduled, you must perform a manual check in procedure. Refer to Check in a Visitor Manually for more information.

5  If the system automatically identified the correct visitor and the correct visit, verify the information on the Badge Preview Screen.

Use this screen to verify the information for the visit, the visitor, and for the visit sponsor.

6  When you have verified the information, upload the image to VendorStat.

Saving the scanned image to VendorStat allows the system to store the information and simplifies the check in process for that visitor in the future.

a  Click the Browse button.
VendorStat opens a choose file window.

b  Navigate to the c:\scannedimages folder.

c  Select the file named Image-A-Face.jpg

d  Click on the Open button.
VendorStat returns to the Badge Preview Screen.

e  Click on the Upload Image Button

7  Collect the visitor’s driver’s license.

Once the Image upload is complete, VendorStat displays a reminder for you to collect the visitor’s license.

Note

Follow your Health System’s policies and procedures on handling, storing, and safeguarding visitor’s licenses.

8  Click the OK button.

VendorStat displays the Badge Preview Screen again.

9  On the Badge Preview Screen, click on the Print Badge button.

VendorStat prints the badge and updates the status information on the list of visits.

10  Present the badge to your visitor.

Follow your Health System’s policy and provide the visitor with any additional instructions, paperwork, etc. that may be required for Vendor Representatives visiting your facility.
