Edit a Visit

Once a Scheduler has set up a visit, there may be a need to make changes to the meeting time, date, or other details. A scheduler has the option of editing the details of an existing visit, or canceling the visit completely.

Before You Begin

You can only edit a visit that is already on the schedule in VendorStat. For more information, see Schedule a Visit.

Step by Step Instructions    To edit an existing scheduled visit in VendorStat:

1  Login to VendorStat with your user name and ID (see Login To VendorStat).

VendorStat displays the List of Visits screen. This screen provides a list of Vendor Representative visits that you have scheduled. Use this screen to schedule new visits, edit existing visits, or cancel existing visits

The List of Views includes a set of filters that you can use to control what information is displayed in the list.

•  Use the Start Date, End Date, and Search button to set a range of dates for the displayed visits.

•  Use the Filter by Facility drop-down list to choose one Health System facility. Then, the screen only displays visits scheduled for that facility.

2  Click on Edit to modify the details of a scheduled visit.

VendorStat displays the Edit Visit screen. This screen lists each of the visit details for the Visitor, Host, and Visit. You can use this screen to update any part of the visit information.

3  When you have finished updating details for the scheduled Visit, click on the Update Visit button to continue.

VendorStat displays the Visit Registration Summary screen. Use this screen to review the information you entered. VendorStat automatically sends a confirmation E-mail message to the Host, Visitor, and Scheduler. This screen includes the following controls:

Click on the Print button to send the information on the screen to your default printer.

If you need to register another visitor, please click here.

Select this option if you would like to schedule another visit. This starts the scheduling process over, see step 3.

If you need to edit this scheduled visit, please click here.

Select this option if you would like to change any of the information in the visit you just scheduled. This starts the editing process (see Edit a Visit).

 

4  Alternately, from the List of Visits, you can click on Cancel to delete a scheduled visit.

VendorStat displays the Cancel Visit screen. This screen lists each of the visit details for the Visitor, Host, and Visit. You are required to enter a reason for the visit cancellation.

5  When you have finished entering a reason for canceling the scheduled Visit, click on the Cancel Visit button.

VendorStat displays the List of Visits screen. Use this screen to review the information for canceling the visit. VendorStat automatically sends a confirmation E-mail message to the Host, Visitor, Scheduler, and the Canceller.
